Set up the DATEV Unternehmen online integration (Part 3)

How to set up your categories (German: Sachkonten)

  1. In the Pleo web app, go to Categories (under the Settings section).

  2. If your Pleo account is registered in Germany, then you will see that 11 category types (set up by Mastercard) have automatically populated this section. You can always edit these categories by clicking on them. Just make sure to follow consistent logic so that everything stays clear and organised.

  3. Next, you can create as many sub-categories as you like under each category. For example, under a "Marketing" category, sub-categories could be "Facebook" and "Google."

  4. You can assign a tax code to a specific category so that any future expenses under that category are automatically assigned the relevant tax percentage and key.

How to set up your tags (cost centres)

Tags in Pleo reflect Kostenstellen / cost centres (KOST1 and KOST2) in DATEV.

  1. In the Pleo web app, go to Tags (under the Settings section).

  2. Click Add tag group. Please note that you can have up to three tag groups in Pleo.

  3. Input an easily understandable name and select the tag group as either KOST1 or KOST2.

  4. Click Create tag group.

Done! When you export expenses from Pleo to DATEV, the tags (cost centres) will appear as either "KST1" or "KST2."

How to import Pleo expenses to DATEV

Once you've exported expenses from Pleo, open DATEV Unternehmen online and:

  1. Log into DUO and click on the relevant contra account (kassenbuch).

  2. Click on "Cash movements" (German: Kassenbewegungen).

  3. Select the accounting month.

  4. Click on the details of the expenses.

  5. Check through to make sure all of the Pleo expense info looks fine.

  6. If all looks good, click on "Commit & Provide" (German: Festschreiben & Bereitstellen) to save the Pleo expense info in DATEV.
