Enable mileage
Note: Before you can enable mileage, you need to enable Reimbursements.
- Go to Settings
- Select Mileage
- Select a category for mileage
- If no default rate has been added - Add a mileage rate
- If a default rate has already been added, this rate is based on the tax-free rates set by the government and will automatically be updated as they are changed (unless they are overridden by custom rates).
Employees can now submit their mileage claims.
Good to know:
- Mileage claims can only be submitted through the Pleo mobile app.
- Mileage claims can't be changed after they have been submitted - If changes need to be made: mark the claim as Not okay and ask the employee to delete the claim and submit a new one.
- Pleo doesn't report mileage claims to your local tax authority - You can download an overview of mileage claims to calculate the sums per employee.
- DK only: To help customers comply with the 60-day rule for tax-free transport allowance, employees will not be able to submit mileage claims between a workplace and their residential address if the itinerary has been travelled on 60 individual days within the last 365 days.
Mileage settings
You can customise your mileage set up:
- Custom rates - Add custom rates for the entire company or customise the rates per employee
- Employee override - Gives employees the ability to switch from the company default to a custom rate set by themselves
- Thresholds (UK, AT, DK only) - Different mileage rates for government established thresholds
- Fuel rates (UK only)
- If fuel rates are toggled on, employees will be asked to select the fuel type when submitting their mileage claims.
- Default values are tax-free government rates, but can be overridden by custom rates
- Company car rates (SE only)
- If company car is toggled on, employees will be asked to select the vehicle type when submitting their mileage claims.
- Default values are tax-free government rates, but can be overridden by custom rates
